QuickBooks helps organizations manage essential financial tasks like paying bills, creating invoices, producing reports, and tracking expenses, contributions, and payments.

QuickBooks Premier 2011, for the small-to-medium-sized organization, allows the installer to select from a general business version or five industry-specific versions of QuickBooks Premier 2011: Nonprofit Edition, Contractor Edition, Manufacturing & Wholesale Edition, Professional Services Edition, and Retail Edition. Each version includes the features of QuickBooks Premier 2011, plus modifications specifically designed to meet the finance and accounting needs of a particular industry. For example, the Nonprofit Edition provides custom features that nonprofit organizations need for grant tracking, budget creation, financial reporting, and IRS Form 990 data.

Features such as payroll management are available directly from Intuit for additional fees.

Other capabilities include the following:

  • Allows invoices and statements to be emailed directly within QuickBooks from an Outlook or webmail (Gmail, Yahoo!, or Hotmail) account with enhanced email integration. (Note: additional software is needed to use this feature with Outlook. See System Requirements.)
  • Creates budgets based on actual fundraising and expense data in QuickBooks and compares actual income and expenses to budgeted amounts.
  • Provides business planning and analysis tools, such as the Statement of Financial Income & Expense, to help evaluate the organization's business, improve financial management, and plan for the future.
  • Organizes business information such as tax, general company, donor, vendor, and employee information in separate centers while allowing an accountant to simultaneously work on the system.
  • Provides a Nonprofit Edition chart of accounts that categorizes and views expenses the way IRS Form 990 requires and also provides reports that show how much money has been contributed and spent to date by donor or by grant.
Includes One User License

This product includes one user license. Each user must have both a user license and a separate installation of the same edition and version of QuickBooks. The maximum number of users that can work with the organization's data at the same time is five.

Compatibility of QuickBooks Data with QuickBooks Versions

Once an organization's data is updated to a new version of QuickBooks, it can't be opened in the previous version. If an organization wants to allow an outside accountant to work with its data, the accountant must have an edition of QuickBooks released in the same year as the organization's.

Support

QuickBooks Premier includes 30 days of free phone support from Intuit. All support for this product, including online access, will be discontinued approximately three years from the product's original release date.

Rules, Eligibility and Restrictions

  • This donation is available only to nonprofits with 501(c)(3) designation and to public libraries. Public libraries must either have valid 501(c)(3) nonprofit status or be listed in the Institute of Museum and Library Services (IMLS) database.
  • Eligible organizations may request one product per fiscal year (July 1 – June 30).
  • Donated product will be distributed under this program to qualifying organizations only, not to individuals.
  • Eligible organizations must have an annual operating budget of less than $3 million.
  • Donations are not available for distribution to legislative, political (except for voter registration), or advocacy organizations.
  • Religious organizations without a secular community designation are not eligible to receive software through this program. A secular designation is defined as an organization separate from the church or religious organization that provides services to people regardless of their religious beliefs and does not propagate a belief in a specific faith.
  • Participating organizations must use Intuit products for their own charitable purposes and not sell, trade, barter, or auction any of the goods donated. Donated products cannot be used as door prizes or party favors, sold at auctions or in thrift stores, or otherwise distributed outside the organization's charitable purpose to the general public.
  • Organizations that advocate, support, or practice discrimination based on age, ethnicity, gender, national origin, disability, race, size, religion, sexual orientation, or socioeconomic background are not eligible to participate in this program. Organizations must be willing and able to attest that they do not discriminate on any of these grounds in order to receive donations.
